Make an English scan searchable and check the OCR result
Test one page, choose a useful range, understand the time estimate, and catch recognition errors before converting to Word or Excel.
First check whether OCR is needed
Seeing words on a page does not mean the PDF contains text. Try selecting a sentence and searching for an unusual word. If the whole page behaves like a photograph, OCR can recognize the printed letters and add a searchable text layer.
If the PDF already has accurate selectable text, another OCR pass can introduce mistakes unnecessarily. Word and Excel conversion use selectable text, so an image-only scan needs recognition before either can extract its words.
Give the recognizer a readable page
Rotate sideways pages first. Inspect small type, faint printing, and clipped edges. OCR cannot reliably recover letters that are missing or blurred beyond recognition. A clean source scan is more valuable than repeatedly processing a poor one.
FreePDFchanger currently recognizes English only. Choosing Chinese, Japanese, or Korean for the website interface changes buttons and instructions; it does not install another OCR language. Handwriting and complex tables are also outside the reliable use case.
Run a one-page practice check
The English scan sample is intentionally image-only and contains a short synthetic note. It is safe to use for trying the workflow because it contains no real personal information.
- Download the English scan practice file below and open it in OCR PDF.
- Enter 1 in the page-range field, or leave it blank for this one-page sample.
- Keep the tab open during preparation, recognition, and final PDF creation.
- In the downloaded output, search for BLUE FOLDER. Copy the sentence containing 4827 and compare it with the page image.
Use ranges for long documents
Enter physical PDF page positions such as 2, 5-7 to recognize just those pages. Unselected pages remain in the resulting PDF, so you do not need to merge them back manually. Start with a representative page rather than the blank cover of a large report.
First use may need to download the OCR engine and English language data. Once recognition starts, the estimated time is based on work completed so far. Dense pages, large images, or other active tabs can change the rate, and the final PDF must still be assembled after recognition reaches the last page. There is no dependable time estimate based on megabytes alone.
Check errors before they spread into other formats
Copy a paragraph into a plain text editor and compare names, dates, decimals, and reference numbers against the scan. Similar characters such as O and 0 or I and 1 can be confused. Selectable text is evidence that a text layer exists, not that it is correct.
When converting the OCR result to Word, review paragraph order. When converting to Excel, expect text rows that may need splitting into columns; OCR and this converter do not guarantee reconstructed tables. Retain the scan as the visual reference.
Before you share the result
- The output still contains every required page.
- An unusual phrase can be searched.
- Copied numbers match the visible scan.
- Any converted Word or Excel result is checked against the original.
